​This is a guide to help get you and your team started on The Equality Institute’s Education platform, referred to here as the LMS (learning management system). This guide is for Group Leaders.

If you would like us to get your team started and ready to learn, read on. If you have chosen to add your learners to the LMS yourself, at your own pace, please jump to the Add users section under Managing your group.

​To get you and your team set up in the LMS, we require some of their details.

Please complete and return the spreadsheet available to download here, which asks for each learner’s:

  1. first name
  2. last name, and
  3. email address

The password field can remain blank, please do not remove the column, and the learner will receive a temporary, automated password. All information provided to The Equality Institute will be handled in line with our Privacy Policy; your details are safe with us.

​Once we upload your team to our LMS, each learner will receive an email from equalityatwork@equalityinstitute.org. This email will provide login details for learners to start accessing the courses you have purchased.

​Please note: Whether your learners are added to the LMS by you or by us, learners will have 12 months from your subscription date to access the courses, regardless of when they are added, when they sign in or when they start the courses.

To start learning, learners need to head to the LMS home page at education.equalityinstitute.org.

Learners need to click the black ‘Login’ button in the top right corner of the page and sign in using their email address and password.

Once signed in, learners can click on the course tile to access the course. Learners can start and stop the course as needed. If they are partway through a course, they will see a prompt asking if they would like to continue from where they left off.

Once a learner completes a course, they can download their course certificate from their dashboard page (available from the top menu) or from the course page.

Please note: if your organisation has its own homepage or custom course, it can be accessed in two ways:

  1. The specific link provided to you, which will look something like: education.equalityinstitute.org/groups/your-organisation-name
  2. Click Dashboard, then click your organisations logo to go to your group homepage

If your organisation has its own homepage or custom course, the courses on the main Equality at Work homepage will not reflect your course. Ensure you use your dashboard or the link provided to get to your course.

If you are a Group Leader in the LMS, you will be able to see the Manage Group link in the top menu. Click this to access the Group Dashboard.
From this page, you can:

  • Manage the seats in your subscription
  • Add users
  • Remove users
  • View reports
  • Add/remove group leaders

Under Enrolled users, you can view the total number of seats you have purchased in your subscription and the number of available seats remaining.

There are three different ways you can add users. Under the heading Enrolled users, select the dropdown menu Users. Here you can select:

  • Add one
  • Add multiple, or
  • Upload users

To add a single learner at a time, select Add one, and enter the learner’s first name, last name and email address. You have the option to set a password or let the learner set their own once they login.

To add multiple learners at a time, select Add multiple. You can then enter learners’ first names, last names, and email addresses, with the option to add a password, as above.

To add multiple learners as a bulk upload, select Upload users. First, download the sample CSV file, and open it in a spreadsheet application, such as Microsoft Excel. You will need to complete this spreadsheet before uploading. Here’s how:

  1. Delete the sample user in Row 2.
  2. In the user_email column, enter the email addresses of the learners in your group, with each learner on a separate row.
  3. In the user_pass column, you can enter a password for each learner. Alternatively, simply leave this empty and a random password will be generated for each learner. They can then update their password once they log in.
  4. Enter the first and last name of each learner into the first_name and last_name columns respectively.
  5. Save your file to your computer as a .csv file. You may see a message in your software stating that some features of your workbook may be lost if you save it in CSV format. Select the option to keep using this format anyway.

Once you have populated your spreadsheet, click Browse and select the file on your computer. Then, click Add users.

Each learner will receive an email from equalityatwork@equalityinstitute.org. This email will provide login details to start accessing the courses.

If a learner has already started (or completed) a course, you will be unable to remove them from the LMS. However, if a learner who hasn’t started a course no longer requires access, you will have the option to remove them from your subscription.

Under Enrolled users, simply select the checkbox next to the learner’s name in the table. If they haven’t started any course (that is, the Status column reads Not Started), a button labelled Remove user(s) will appear above the table. Click this button to remove the user.

Once removed, the learner’s seat will be added back to the remaining seats in your subscription and can be reallocated to another learner.

Above the Enrolled users table, there is a Reports drop-down menu on the right. Here you can select to view either a course report or learner progress report.

To view a course report, select Course. Select your group from the drop-down menu, then select a course.

This report shows the status of all learners in the course, including if and when they completed the course. You can search for a specific learner in the search bar to view their progress. You have the option to customise the columns viewable in your report. You can also export the report as a CSV or Excel spreadsheet.

To see an overview of a specific learners’ progress across all courses, select Progress. Search for the user in the search bar, using their name or email address. Select the user, and you will be able to see their course completion status and download their certificates.

If you would like other team members to have access to the Group Dashboard, simply add them as a Group Leader. Navigate to the Group leaders section, select Add group leader and follow the instructions.
